I enclose a non-refundable deposit of £______, being 25% of the total holiday cost. I agree to pay the balance of £______ plus a refundable damage deposit of £300, 4 weeks prior to holiday before the holiday start date. (If booking less than 4 weeks prior to holiday weeks prior to the holiday start date the full amount should be enclosed.)

Booking Procedure

We are happy to hold a provisional booking for you following a telephone call or email or enquiry on the website. However, we would ask that a booking form and 25% deposit is sent within 7 days to secure the booking. We will confirm the booking on receipt of the deposit – we cannot guarantee to hold provisional bookings for longer than this.

In the event of cancellation by you for any reason the 25% deposit is non‐refundable unless we are able to re‐let the Gite for the week(s) concerned.

Balance Payment

A reminder for the balance payment will be sent by email approximately 6 weeks before arrival. The balance is due 4 weeks before arrival.

If the initial booking is made less than 4 weeks before arrival then full payment should be made at the time of booking.

If the balance is not received by 4 weeks before arrival, despite a reminder, we reserve the right to cancel your booking (without refund of the deposit unless we can re‐let the Gite).

The balance is non‐refundable once it has been made, unless we are able to re‐let the Gite. We strongly advise you to take out cancellation insurance.

On receipt of the balance we will confirm arrangements for arrival, including directions and contact details for our representative.

Form of Payment

Payment should normally be made by direct bank transfer in £ sterling. We will advise you of payee details at the time of booking to enable payment to be made.

Non‐UK guests may make payment in other currencies by arrangement.

We regret that we cannot accept company cheques.

Security Deposit and Damages

A security deposit of £300 is payable at the time of making the final payment. This will be refunded within 14 days of the end of the booking, less any deductions as below.

Guests are fully responsible for any damage and/or losses to property, furnishings and equipment and must inform our representative of any damages or losses during their occupation when they check out.

The rental charges include reasonable heating, lighting, gas and water charges (including logs for use in winter). We reserve the right to charge for highly excessive service charges (for example, to re‐fill and re‐heat the swimming pool if it needs to be drained to repair damage caused).

Where excessive loss or damage is caused we reserve the right to seek compensation above and beyond the security deposit.

Arrival and Departure Times

Please plan to arrive after 4.00pm so that we can prepare the property after the departure of the previous guests. It would be helpful if you could give us an approximate arrival time when making your final payment.

To ensure that you are met on arrival please telephone when you are 30-60 minutes away (we will provide you with a contact number for that purpose). It would also be helpful if you could keep us informed if you are unexpectedly delayed en-route.

To enable us to prepare the Gite for the next guests we ask that you vacate the property before 11.00am on the day of departure. Please contact us before departure to agree a check-out time.

Welcome Pack

The supermarket in Trie‐sur‐Baise is normally open until 7.30pm on Saturdays. If you anticipate arriving after that time and need essential supplies to tide you over until you can do a shop then we can provide a basic Welcome Pack at cost for the first evening. Please discuss your requirements with us when making your final payment.

The supermarket is open Sunday mornings until midday.CleaningWe request that the property be left in the same condition in which you found it. It is not necessary to strip beds or launder bed‐linen and towels; however we do request that crockery and cutlery are washed, kitchen and laundry appliances and barbecue left in a clean state, any rubbish is removed and where furniture has been moved it is returned to its original position.

We reserve the right to make a charge for any excess cleaning required if the property is not left in a reasonable condition.

Linen and Towels

Linen and towels are included in the price of the rental. Please note that both indoor and beach towels are provided and only the large beach towels are to be used outside.

A change of linen/towels is provided for guests who book for multiple weeks.

Glassware Outside

We provide both glass and plastic drinking glasses. Please use ONLY plastic glasses outside. This is for health & safety reasons and to prevent broken glass getting into the swimming pool where it would be an invisible hazard, cause damage to the liner, and would require the pool to be drained to remove it.


A barbecue is provided. Guests are responsible for providing their own charcoal and firelighters (available from the supermarket in Trie‐sur‐Baise). Unsupervised children must not use the barbecue.

The swimming pool is normally heated from May through September; however, this may be extended if the weather permits. The pool should not be used outside these periods except by special arrangement as the filtration system may not be operational.

The pool is fitted with a security cover which conforms to French laws. When closed and secured this will prevent small children accidentally falling into the water. It is the responsibility of guests to ensure that the cover is closed whenever the pool is unattended and, in particular, when unsupervised children are around. The cover opens and closes electrically and its operation will be explained by our representative.

Please, NO DIVING into the swimming pool. It is not sufficiently deep for this to be safe.

Equipment and Facilities

Guests are free to use the tennis court, basketball hoop and table tennis table at any time. Racquets and balls are provided. Guests are responsible for any damaged or lost equipment. Expert players may wish to bring their own equipment as that provided is intended for recreational use.

A small supply of books, DVDs and games are provided. DVDs and games should remain at the property. If guests wish to take an unfinished book home with them at the end of their stay they are welcome to do so provided they replace them with a book of their own for the benefit of future guests (feel free to also leave any additional books you have no further use for).


This is a no‐smoking property. We kindly request that you do not smoke inside the building. Smoking outside is permitted (ashtrays are provided for that purpose).


Parents of small children are reminded that there is an unfenced and deep pond in the wider grounds (outside the fenced garden) and that children should be supervised at all times, particularly when using the swimming pool.

CO2 and fire detectors are fitted and fire extinguishers are provided.


The property is fitted with an intruder alarm but this is not normally operational when the Gite is let to reduce the likelihood of false alarms. If you particularly require the alarm to be set then please discuss with us before your stay.

Please ensure that windows and doors are secured when you are away from the property. The owners cannot accept liability for stolen or damaged property.

Additional Beds / Cots / etc

The Gite sleeps 6 people as standard (in two double beds and two single beds). Up to 2 additional children can be accommodated on chairs that convert to futons if required at a small supplement to cover laundry, etc.

There is no charge for additional infants sleeping in cots. The Gite has one cot and one high‐chair – guests are welcome to bring additional ones if they require them.


We regret that no pets are permitted except by special arrangement (agreed in advance).

Limitations on use

The accommodation, services, and facilities of the property are solely for the use of those named on the booking or as otherwise agreed with the owners. No sub‐letting or assignment arrangements are permitted. The maximum sleeping capacity of 6 (8 if the supplement for use of futons is paid), plus infants, must not be exceeded under any circumstances. The pitching of tents and the use of caravans to accommodate additional persons is not allowed except by special arrangement, and may be subject to an additional charge.


No responsibility can be taken, by the owners, for injury or loss or damage to property, including vehicles, in or around the property, its grounds or the neighbourhood, howsoever caused.

Property Maintenance

The owners or their representative retain the right to enter the property at any reasonable time to deal with any complaints and to carry out any repairs deemed necessary to the property or equipment. The pool and grounds will be maintained during your stay; please do not attempt to adjust the pool heating controls, pool water treatment equipment or garden irrigation systems yourselves.

Normally the pool cleaner and the gardener will each visit the property once a week.

Flora and Fauna

This is a country property and guests should be aware of the local flora and fauna. In rural France the presence of animals, birds, and insects in surrounding countryside is inevitable. Small lizards are frequent visitors to the property and are totally harmless. If food is not left lying around, and any food or drink spillages are cleaned up, this will largely eliminate the possibility of any nuisance from ants and similar insects. Snakes may occasionally be seen. These are usually harmless grass snakes but, more rarely, adders (vipers) may be encountered in the wider neighbourhood.

If you have provided us with an email address, you will receive an automatic email shortly before your arrival with a link to comprehensive information on-line concerning both the property and the neighbourhood.

An information pack is also provided in the Gite giving details of restaurants, local shopping, and other facilities. A selection of tourist brochures is also provided in the Gite and there is a tourist information office in Trie-sur-Baise.

Note: It is advisable to arrange insurance against cancellation of your holiday.
